Program & Class Registration

  1. The Jefferson City Area YMCA welcomes registration by Y-members as well as non-members. When program/class size is limited, Y-members shall be permitted to register for programs two weeks prior to opening registration to the general public.
  2. Registration can be made in person, by phone or online at www.jcymca.org with credit card (MC/Visa/Discover).
  3. Individuals enrolled and participating in a class or activity as a Y-member must have a current membership during the activity period. Non-members in a program may apply part of the program fee toward a membership if application is made before the end of a current class session. Membership expiration date reverts back to the date class began.
  4. Registrations are accepted according to the registration schedule on a first come, first served basis. Members placing their name on a waiting list shall have priority over non-member participants.
  5. Registration must be accompanied by full payment for all programs/classes.
  6. Bank draft payment is available for child care, swim team and permanent court time.
  7. Neither members nor program participants will be permitted more than one (1) discount when purchasing services.  In situations of multiple discounts, the member/participant must choose which to use.
  8. Payments of fees for program services, which are priced on a calendar month basis, are due by the 5th day of the month.  They are delinquent after the 10th day of the month and a ten dollar ($10) late charge shall apply.  If the fee and the late charge are not paid be the last day of the month participation shall be denied or the participant will be required to convert the payment to bank draft.  The choice of remedy shall be made by management.

MasterCard, Visa, Discover, and debit cards are accepted.

Stop by either YMCA facility to register for any programs. The Firley facility is located at 525 Ellis Blvd. and the Knowles facility is located at 424 Stadium Blvd.

Online registration is not available for all programs. MasterCard, Visa and Discover are accepted.

Program Refund & Credit Policy

The following is provided as a reminder of policies relating to program fees:

  1. Errors/Cancellations: In the event of an overcharge or a program cancellation for which the YMCA does not offer a make-up, the individual may choose a credit or refund. No credit or refund will be provided due to weather related cancellations if the YMCA offers a make-up opportunity or provides a pass to another class.
  2. Illness/Injury: When a serious illness or injury prevents a program participant from participating in more than half a program session, a credit will be issued for the full amount. The participant must request the credit during the affected program session, not after it has concluded. A medical statement must substantiate the illness or injury.
  3. Program Withdrawal: A credit will be given to any registrant up to one week prior to the start of the program. Exceptions may exist as explained on specific program fliers and/or registration forms.
  4. Private Lessons/Counseling: Cancellation or rescheduling of appointments requires 24-hour notice. A refund or transfer payment may be made due to relocation.
  5. Bank draft of program fees must be cancelled in writing and in person by the 15th day of the calendar month to avoid the draft for the forthcoming month.
  6. Program Directors, through the Business Office, will administer the credit/refund policy. Exception for cause may be made by the Department Director or CEO.
  7. When a credit is granted to accommodate a program participant, a $5 handling fee will apply.
  8. Credit Time Limit: All credits are valid for one year and are transferable to any YMCA program. No credit may be applied to membership fees, swim team, or gymnastics fees.
  9. Credits are transferable to immediate family members only.

Inclement Weather

If public schools are cancelled all day, morning classes at the YMCA will not meet and early morning lap swim will be cancelled. In addition, the Knowles facility (424 Stadium) will open at 8 a.m. All other class cancellations will be made at 3 p.m. or 1½ hours prior to the scheduled starting time and updated on the YMCA Information Line at (573) 681-9622. Day Pass / Away Program

Day Pass Policy
A non-member can use the YMCA facilities six times per year by showing a current ID and paying the day pass fee. If six visits are used within one year, admittance will not be allowed unless a membership is purchased or the calendar year has elapsed. Day passes cannot be purchased Monday-Thursday between 5-7p.m. In addition, they cannot be purchased on Sundays. Photo ID is required to purchase a day pass.

AWAY Program
Members of the Jefferson City Area YMCA are welcomed by more than 1,000 YMCAs nationwide. By presenting your YMCA card you will receive access to participating YMCA facilities free, or for a minimal charge. The Jefferson City Area YMCA welcomes any member of any YMCA in the United States for half the day pass fee.

Rentals

Locker Rental
Lockers may be rented on annual basis. At the Firley YMCA, the full locker fee is $75 and half locker fee is $50. At the Knowles YMCA, the locker fee is $62.50. Individuals may use empty lockers and are asked to bring their own locks that MUST be removed daily. The YMCA is not responsible for lost or stolen property.

Rental of Facilities
The YMCA offers a variety of rental options for parties, meetings, and special event functions. Please schedule at least two weeks in advance. Dates subject to availability. Call (573) 761-9006 for additional information.

Security

Theft Precaution
The YMCA is not responsible for lost or stolen property. If you must bring your valuables into the YMCA, always keep your locker locked. You may leave any of your valuables in a lock box in the lobby of either facility. Please report any suspicious activity to the front desk immediately.

Video & Audio Taping
To better serve its members, the Jefferson City Area YMCA has installed video cameras and audio recording devices throughout its facilities to conduct security surveillance in designated areas and to service audits of its employees. For these purposes, video cameras have been installed in facility locations including, but not limited to, the pool, the nursery, the entryways, the hallways outside the locker rooms. In using the YMCA's facilities and services, you are consenting to your actions and conversations being recorded. In addition, cell phones that contain cameras are not permitted in YMCA buildings.

Jefferson City Police Department
The Jefferson City Area YMCA is proud to announce its partnership with the Jefferson City Police Department. Law enforcement officers in civilian clothing will be periodically monitoring all areas of the facility.

Other Member Information

Members Only Time
The Jefferson City Area YMCA facilities are open to members only on Sundays. In addition, the YMCA also observes "Member Only" times Monday-Friday from 5:00 - 7:00 p.m. However, program registration is open to the public during this time.

Accessibility Statement

Supervision of Children
A parent MUST supervise children under the age of 14 when attending the YMCA. Nurseries are available for children 3 months to 5 years of age at the Knowles and Firley YMCAs. The Kids Center is available to children 6-12 years old and is located at the Knowles YMCA. Parents must be at either YMCA facility while using this service. During recreational swimming, an adult (18 years or older) must accompany children 7 years and under in the pool. An adult must stay in the pool area with children 8-14 years old.

Firley Center Parking
A full parking lot means your YMCA is being utilized and that's great news. However, if you find yourself circling for a place to park, please remember that you may use the Community Christian Church lot west of the Firley YMCA and the day care lot to the east.

Policy on the Use of Cell Phones and Camera Equipment
The use of cameras of any type is not permitted in YMCA buildings.  The use of any type of video recording device is prohibited without the expressed permission of management.  Group events (e.g., Christmas programs, youth basketball) are exempt from requiring management approval. Out of consideration of all members, the use of cellular telephones in the fitness center and during aerobic classes is prohibited.  The only exception is in the event of an extreme emergency.All patrons using cellular phones in the fitness center will be informed of this policy.  In the event of a non-emergency, the patron talking on the cell phone will be requested to finish the call outside the fitness center or aerobics class.In addition, the use of cellular phones in the locker rooms is strictly prohibited.                                                                                                         

Policy on Donated Memberships
The Jefferson City Area YMCA will donate an annual membership at 50% of cost for fundraising purposes to not-for-profit agencies with missions similar to the YMCA.  Each request must have the approval of the Membership/Program Committee.
                                                                                                                        
YMCA Facility/Program Usage for Agencies Providing Temporary Housing
The Jefferson City Area YMCA shall allow agencies such as the Prenger Family Center, RACS, Salvation Army, etc., who house individuals and families on a temporary basis to become involved at the YMCA at NO CHARGE in the following ways:

  • A staff member from the agency may bring a group during non-prime time hours to use the YMCA facilities.  This individual shall be responsible for supervision of the group. This must be prearranged.
  • Drop-in Child care may be provided in existing YMCA child care programs on a space available basis.  Reservations made by an agency staff member must be made in advance with the YMCA Childcare Manager.

YMCA-Big Brothers/Big Sisters Relationship
The Jefferson City Area YMCA serves as the sponsoring agency for Big Brothers/Big Sisters of Cole County (BB/BS). The YMCA Board of Directors serves as the legal governing board for BB/BS.  As such, this board must approve the following:

  1. All new revised policies
  2. Annual budget
  3. Selection of the Associate Executive Director
  4. New programs, new program sites or discontinuance of programs
  5. Assumption of debt
  6. Litigation

Routine operations, fundraising activities, United Way liaison, etc., shall remain the exclusive domain of the BB/BS Associate Executive Director and Advisory Committee.  The YMCA shall offer support to BB/BS in keeping with both the “letter” and the “spirit” of the joint agreement dated December 31, 1996.

Emergency Procedures for Programs During Hazardous Weather
Safety
We must do everything possible to prevent accidents and eliminate hazardous situations in and around YMCA facilities and/or programs.  This requires vigilance and pride by all staff.  All staff should be conscious of potential hazards and react prudently.

Sporting Events/Programs
The Sports Director and Sports Director have authority to delay the start of a game any time weather conditions are considered hazardous.  If the Sports Director and Sports Director are not available, a designated YMCA representative or official may also postpone the start of a game.  Once a game has started, any of the above parties may suspend a game any time weather conditions change and are considered to be hazardous.

The first step in the suspension is to remove all participants from the playing field and to a location that provides shelter and safety until weather conditions improve to a point where it is safe to resume play.  All spectators, players, coaches and game officials will be informed of the procedures to be followed and will be instructed to move to protected areas.  No one should be allowed to remain on or around the playing fields.

The length of the delay shall be determined by the weather conditions, and the game may be resumed at any time the Sports Director, Sports Director, YMCA representative, or official agree it is safe to do so. However, play may not resume unless no thunder has been heard or lightning spotted for 15 minutes.   If after 30 minutes the hazardous weather has not subsided, the decision to cancel the game will then be made by the proper authorities noted above.  The game may either be considered a completed game at that point or rescheduled at a later time according to YMCA rules.

In the event a game official or coach spot lightning they may suspend a game until weather conditions improve if a designated representative of the YMCA is not on site to make an official ruling.  The Jefferson City Area YMCA and the 63 Sports Complex will jointly provide any necessary communications to participants in regard to changes in weather or emergency evacuation of the fields.

Outdoor Swimming Pool
In the event hazardous weather should occur, the Sports Director, Senior Lifeguard or any other guard on duty has the authority to close the swimming pool anytime weather conditions and pool visibility are considered hazardous to life and limb. Water will be cleared immediately in the event of:

  • Thunder
  • Lightning
  • Emergency warning signals
  • Thunderstorm or tornado warning or sighting
  • Heavy rain or winds that obscure visibility

Members and patrons will be allowed to re-enter the water under the following conditions:

  • No thunder or lightning has been heard or spotted for at least 15 minutes
  • Official notification from the National Weather Bureau that the storm warning has expired
  • Visibility is restored

If after 20 minutes of no recorded sightings of thunder, lightning and official warnings have expired but weather or pool conditions still pose a threat, no person will be allowed to re-enter the water until the Sports Director or Senior Lifeguard approve it.

Inappropriate Conduct - Zero Tolerance
The YMCA is committed to providing a wholesome atmosphere for all people to enjoy. Therefore, inappropriate conduct simply will not be tolerated.  Any person who engages in any activity deemed to be a serious breach of appropriate conduct on YMCA property or while participating in any YMCA sponsored program or activity shall have their membership and/or program participation privileges suspended or revoked without warning in the manner described herein.

For the purpose of this policy, inappropriate conduct includes, but is not limited to:

  • Consumption of alcoholic beverages
  • Excessive expression of profanity or vulgarities
  • Fighting
  • Intentional destruction or defacing of property
  • Theft
  • Sexual Activity
  • Inappropriate dress
  • Indecent exposure
  • Any verbal or physical abuse directed at YMCA employees, volunteers, members or program participants.
  • Sneaking into the facilities or assisting those trying to sneak in.

Penalty
Suspension of membership privileges for offenses under this policy shall be for a minimum of period of ninety (90) days. A suspension may be reduced or increased for cause by the Executive Director & the Director of Membership Services. Suspensions of program participation shall be for a minimum of one week. Longer suspensions or membership revocation may be deemed appropriate in some cases. The member or program participant will not receive any credit or refund for prepaid dues or fees. In flagrant cases, the individual will be advised if they return to YMCA property they will be prosecuted for trespassing.

Process
The staff person observing an individual engaged in inappropriate conduct shall take steps to stop the offensive activity and shall notify the individual(s) of their violation of this policy and that they are to leave the facility and/or program activity.  The staff person shall then provide a written report of the incident to his/her supervisor who shall review the incident report and obtain any additional information he/she determines to be necessary.  The Executive Director and supervisor shall assess the veracity and severity of the incident and make final determination of disciplinary action to be taken, within five days of the incident.  The suspended member or participant is then to be notified by certified mail of his/her status.

The Executive Director and supervisor shall be the finders of fact for alleged violations of this policy and their decision regarding the responsibility of the individual(s) engaging in inappropriate conduct is final.  Members or program participantsmay appeal the length of suspension imposed to the Membership Committee. Appeals must be received in writing within fifteen (15) days from the date of the administrative action and shall outline the basis for the appeal.  The decision by the committee on the appropriateness of the disciplinary action shall be final.

Policy on Membership Information Dissemination
Membership records, including rosters of names and addresses, are proprietary and for use by YMCA staff and volunteers only.  They may not be sold, traded or given to any individual or organization outside the association for any purpose.

Minimum Age Requirement
It shall be the policy of the Jefferson City Area YMCA that children under the age of 14 may not be in the buildings unless they are accompanied by an adult or participating in a program, class or special event.  During recreational swimming, an adult (18 years or older) must accompany children 7 years and under in the pool.  An adult must stay in the pool area with children 8-14 years of age.

Private Instructions
No member or day pass user may use the YMCA facilities to conduct private instruction and charge or accept compensation.

Policy on Program Complaints and Grievances
Alleged acts of unfairness/discrimination or any decision made by YMCA program personnel, which participants or their parent(s)/guardian(s) believe to be unjust or in violation of YMCA policy, may be appealed as follows:

  • The department director shall schedule a conference with the complainant(s) in an attempt to resolve the problem.  This meeting shall be held within ten days of receipt of the grievance and the program director shall render a decision within ten days of the date of the meeting.
  • If the problem is not resolved to the satisfaction of the grievant(s), a written request may be submitted for a conference with the Executive Director of the YMCA, the Executive Director shall hold a conference within ten days of receipt of the grievance and shall render a decision on the matter within ten days of the meeting.
  • If the issue is not resolved to the satisfaction of the complainant(s) at this level, they may submit a written request to appear before the YMCA Membership/Program Committee.  The committee will hear the complaint at its forthcoming monthly meeting and render a decision within one week of the meeting.  The committee’s decision will be final.

All persons are assured that they may utilize this procedure without reprisal.  In cases of suspension or removal from a program these actions by YMCA staff shall remain in effect during the appeal process.

Policy on Proper Atmosphere
In as much as the YMCA is an association based upon Christian principles, we expect members, guests, and program participants to dress conservatively, avoid profanity, and practice good sportsmanship.  YMCA facilities are tobacco and alcohol free. All YMCA employees and volunteers are encouraged to maintain the proper Christian atmosphere in their areas of responsibility.

Policy on Use of Tobacco Products
In order to be consistent with the mission of the Young Men’s Christian Association, the following shall be the policy of the association with regard to the use of tobacco products:

  • Members, participants, guests, spectators and employees must refrain from the use of tobacco at any YMCA sponsored program, activity or event.
  • All YMCA property must be tobacco free at all times.
  • When adults are involved in youth programs as spectators, leaders, coaches, officials, drivers, or other volunteer capacity, they shall refrain from the use of all tobacco products in the presence of youth participants.
  • Registration procedures and forms shall be revised to clearly state our policy as listed in 1, 2 & 3 above.
  • The association shall promote an awareness of the health risks associated with the use of tobacco and may, based upon community need, offer recognized smoking cessation programs.

Weapons Policy
The Jefferson City Area YMCA prohibits employees, members and all other individuals from carrying weapons, concealed or otherwise, onto the premises.  The YMCA also prohibits employees or other persons from carrying weapons in vehicles owned by the YMCA. Carrying of a weapon onto the premises will result in immediate removal of the person carrying the weapon. Licenses, driver’s license or no driver license, containing a concealed carry endorsement or permit used by Missouri or another state or political subdivision of another state shall not authorize any person to carry firearms onto the premises of the YMCA. The YMCA will post signs on the premises warning the public that all weapons are prohibited on its premises.

Gift Certificates
The sale of gift certificates shall be considered final.  Gift certificates shall be valid for one year from the date of purchase.

Policy on Protective Eyewear
It is the policy of the YMCA that eye protection gear must be worn at all times during racquetball or handball play.  In order to facilitate the enforcement of this policy, the association will do the following:

  • Post the policy at the entrance to all courts.
  • Refuse to provide racquets to players without also providing eye protection.
  • Suspend the membership, for sixty (60) days, of any player involved in a game in which an eye injury occurred and eye protection was not worn.
  • Direct all management staff to reprimand players who are not wearing proper eye protection.  Any player repeating the infraction will receive a thirty-day (30) suspension of membership.

Policy for Families with State Financial Assistance
It is the policy of the YMCA that all families with children in the association’s childcare programs receiving financial assistance from state government be treated consistently except in classifications mandated by contract language.  Specifically, as follows:

  1. The YMCA member rate will be used even though the applicant for financial assistance may not be a member.
  2. Families with children who have been adopted through DFS will be treated as any other patron.  They will receive assistance from the Outreach Fund if they qualify.
  3. Families who have children and qualify for state assistance under income maintenance will pay a portion of the remainder of the fee as established by the appropriate manager/director.  The percentage paid by patrons may not be uniform.
  4. Families with foster children, or children in protective custody, cannot be charged any additional monies.  We must accept the state’s payment as full payment.  The balance is to be charged automatically to the Outreach Fund.
  5. Management reserves the right to limit the number of children accepted from the foster child or protective custody category.
  6. One-time incidental fees will be paid in full by all participants.
